Here's what we're building.

What This Engagement Delivers

After Phase 1, your contacts, students, schools, and organizations live in one CRM — not scattered across spreadsheets and Wix forms. The two highest-cost manual workflows run automatically. You walk in knowing where every student and every paying org stands, without rebuilding the picture from scratch each week.

This is the foundation. Phase 2 (the student heat map across all programs) and Phase 3 (the AI second brain) sit on top of this — and neither works without it.

Where You Are → Where You End Up

Where you are now

  • Contact data scattered across separate spreadsheets per organization
  • Wix dashboard adoption stuck around 25% of students — no visibility into who's active
  • Custom program content rebuilt from scratch for each school and org contract
  • Manual follow-ups, manual reports to Broward County and school boards, manual invoicing
  • You sitting in back-to-back meetings, missing pieces because there's no system catching them

After this engagement

  • One CRM holding every contact, tagged by segment (student, school, organization, partner)
  • Wix forms feeding the CRM automatically — no copy-paste, no lost leads
  • Two live automations running the highest-cost workflows you flagged
  • A working pipeline view for the org/school segment — your most profitable lane
  • Clear, repeatable training so you and your team actually use it after handoff

The Build

Phase 1

CRM Foundation & First Automations

Outcome: Your operations move from spreadsheets and memory into one system that holds the data, runs the follow-ups, and gives you a pulse on every student and every paying org — without you in the middle of every step.

What we'll do

  • 1-hour deep-dive session to map your current workflows, forms, and data sources
  • Set up the CRM — contact records, custom fields, tags, and pipelines tuned to your segments (students, schools, organizations, partners)
  • Migrate your cleaned spreadsheets and existing contact lists into the CRM
  • Integrate Wix forms so new submissions land in the CRM automatically — no manual transfer
  • Build 2 initial automations targeting your highest-cost workflows (follow-up sequences and reporting/accountability triggers — exact two confirmed in the deep-dive)
  • Run a 1-hour training session so you can operate the system independently after handoff

What you walk away with

  • Live CRM with your data migrated and organized
  • Wix → CRM integration working end-to-end
  • 2 active automations
  • Pipeline view for the org/school segment
  • Training recording + written quick-reference guide

The CRM platform runs $150/month after setup — billed by the platform directly to your account, separate from this build fee. Starts when the system goes live.

FAQ

You said it yourself on the call — "I don't want to confuse you… you're going to be confused if I'm confused." The AI brain needs clean, structured data and defined workflows to be trained on. Without the CRM foundation, we'd be training AI on chaos. Phase 1 makes Phase 2 and Phase 3 possible — and faster — because the data is already organized.

That's fine. Phase 1 is standalone and fully usable on its own — the CRM, integration, and automations keep running. Phase 2 and 3 are optional next steps, scoped only when you're ready.

It's the platform's SaaS fee — billed directly by the CRM provider to your account. That means your data stays portable and yours. We can discuss platform options in the deep-dive if cost calibration matters, but $150/month is the realistic floor for a CRM that supports the automations you need.

No. Wix stays. We integrate the forms into the CRM so submissions flow automatically. You keep the site you have; we just stop the manual data transfer.

Yes — let's formalize it. You mentioned preferring time/consulting credits over cash commission, which works on our side. We'll write up the referral terms separately once Phase 1 kicks off so it's in place when you're ready to send people our way.

Five concrete checkpoints: (1) CRM live with your migrated data, (2) Wix forms feeding the CRM, (3) two automations running and tested, (4) pipeline view configured for orgs/schools, (5) training session complete with reference guide delivered. All five = delivered.

Tuesday's slot is waiting.

Deposit + booked slot locks in your kickoff. The build starts the moment both are in.
